Exterior Repair Notice

With rising costs to maintain the Evanston Estates (EEHOA) community, and in the interest of keeping the association dues down to maintain and repair the exterior of the buildings, the following repair procedures will now be implemented.

· Owners are allowed to get their own contractors for exterior repairs, excluding roofing, painting and / or siding repairs. Any repair which directly affects another owner must have their written permission to proceed.

· All repairs requested must be pre-approved by the EEHOA Architectural Control Committee (ACC).
o This means you must present the ACC all your drawings, associated costs, and labor figures before the project begins and have it approved before work commences. If you fail to comply with these procedures you may be required to pay out-of-pocket for the restoration of the affected areas back to their original state.
o The association will only approve reimbursement of repairs & maintenance which follow all of the City of Evanston building code requirements. Other projects which may not qualify for reimbursement must still go through the same approval process.

· After the pre-approved work is complete, the invoice must then be submitted to the board within 30 days of completion. Failure to submit all expenses may result in forfeiture of funding.
o The HOA will only pay at a “reasonable and customary” rate which is predetermined and discussed at the time of approval. Approval of repairs and maintenance will be considered when funds are available and no outstanding debts are owed by the owner to the EEHOA. You will receive an authorization letter to begin your project.

· The ACC will inspect the project to make sure it complies with all building codes and meets pre-determined requirements and send you a check for the pre-approved amount.

What this means for you:

If you feel your steps, handrail, guardrails, decks or other exterior common-area things are in need of repair, please submit your plans and estimates for repair or replacement to the ACC. If the committee agrees that repairs are: 1) Necessary, 2) The estimate is reasonable and customary, and 3) The funds are available, you will then be given written approval to begin repairs. All city codes must be followed. Once the work has been completed, contact the ACC for inspection and provide your receipts for payment.
Exterior improvements will only be reimbursed by the EEHOA if the item is required by code. Please contact the ACC if further details are needed.

Additional Information:

Per city code (R311.5.6), handrails are required on one side when you have four (4) or more steps. Any unit with three (3) or less steps does not require a handrail therefore you may remove these rails.
